As you start researching potential sites for your celebration, keep this list of questions in hand.
How many guests can comfortably be seated and entertained in the reception area?
Make sure there’s enough space for the tables, dance floor, bars, and other amenities you will want and need, plus some elbow room for the guests.
What items are included in the basic room rental?
Some places offer only the site; you may need to rent the amenities. Others give you everything from the silverware to the cake. Be sure the inclusions are listed on your estimate.
What about additional service fees?
Typical extras might include fees for cutting your cake, uncorking your furnished champagne, valet parking, and providing restroom attendants.
How many restrooms are available for guests?
Make sure there are adequate facilities for the number of guests you plan to have.
What restrictions are there?
You may not be able, for example, to set up early or stay late or use candles in your centerpieces. Ask before you get your heart set on anything.
Does the facility have the proper licenses and insurance?
If they’re providing bar service, they should have a liquor license as well as liability coverage. Make sure they have certification from the Board of Health.
What types of bar services are offered, and what is the cost?
Services range from a full open bar with skilled bartenders making the specialty drinks, to places where liquor may be served only if you or your caterer bring it in and hire your own bartenders. Understand who will take on the liability concerning age requirements.
What about security?
Community regulations may require that security personnel be present, depending on the number of guests anticipated and whether or not liquor is served.
Is ample parking available, and what will it cost?
Is the parking free and off-street or in a nearby ramp where guests will need to pay? If parking is on-street or away from the facility, consider hiring a bonded valet service.
